PRELIMINARY BIBLIOGRAPHIC RECORDS: VISUAL MATERIALS

Record Creation Procedures

BACKGROUND:

Create a preliminary bibliographic record if there is no usable copy when placing an order or trying to catalog a Priority 2 or Priority 3 item. Follow the general preliminary record instructions and use the following instructions for the special features of visual material. Include the fixed and variable fields included in this document. Use the new f command to call a visual materials workform.

  1. FIXED FIELDS

    1. RT and BL

      	RT = g (graphic, projected) 	Use for Video recordings
      

      k (graphic, non-projected)

      o (kit)

      r (three-dimensional artifact)

      BL = m

    2. E/L (Encoding level)-- Overtype the value 9 to 5.

    3. PLACE-- Use valid country of publication code if known.

    4. LANG (Language)-- Use a valid language code if known or readily available.

    5. DT/1 (Date)

      Include the date of publication, distribution or release. For materials with a range of dates, enter the first date. If there is no date, supply a date for the century or decade, to the best of your knowledge.

      Examples:

      260:: $c [19--] DT/1 1900

      260:: $c [199-] DT/1 1990

      260:: $c 1996. DT/1 1996

  2. VARIABLE FIELDS

    1. 245/Title

      1. Transcribe the title as it appears on the label of the videorecording.

      2. If the item lacks a title, take the title from the container (including label), or accompanying material.

        Examples:

        	245::Flowering and fruiting papya $h [videorecording] / $c Dept. of

      3. 250/Edition Statement.

        Examples:

        250: 5th ed.

        250: Re-edited version.

      4. 260/Place, publisher and date.

        1. Follow the pattern below.

          Place : $b Publisher/Distributor,$c Date.

        2. If there is more than one place, use the first named.

        3. If there is no place of publication, leave it out.

        4. If there is no publisher or distributor, leave it out.

        5. If there is no publication date or copyright date, use: [19--] or [199-]

        6. Use square brackets [ ] around any unknown elements.

          Examples:

          
          260::New York : $bAudiovisual Division, Popular Science Publishing Co.,
          $c 1992.
          

          260::[London] : $b BBC-TV, $c 1991.

          260::$c1965.

        300/Physical description.

        Use this area to record the number of physical units with the appropriate specific material designation. (Consult AACR2 Chapter 7 and 8 for complete lists of smd's). The following is a list of most frequently used descriptors:

        videocassette
        videodisc
        film cassette
        film reel
        filmstrip
        poster
        chart
        art print
        art reproduction
        photograph

        Examples:

        1 videocassette

        3 filmstrips

        2 videodiscs

    2. 538/Technical details note-- For videos and films add a note indicating recorded format.

      Examples:

      538::Beta.

      538::VHS.

    3. 7xx/Added Entry: Personal, Corporate, or Conference Author

      Visual materials are generally entered under title. Make one added entry for the most prominently named individual or corporate body associated with the item.
