COPY SPECIFIC NOTES FOR RARE BOOK LIBRARY AND OTHER RARE COLLECTIONS

Bibliographic Record Procedures

BACKGROUND:

Rare book locations include: Rare Books, East Asian Rare, Music Rare (including msc, msr and librarian's office) and Avery/Fine Arts Rare.

Code field 500 for copy or institution-specific notes having scholarly or artistic value beyond the local institution. Follow the note with subfield $5NNC to indicate that the note is specific to Columbia. Any added entries added to the record on account of the copy specific note should also be followed by $5NNC.

Copy specific notes for other locations or for notes which do not have particular scholarly or artistic value should be coded in MFHD 852 $z

PROCEDURES:

  1. Introduce each note with the phrase Rare Book copy: or Avery Classics copy:

    Examples:
    Rare Book copy: Signed by the author.$5NNC

    Avery Classics copy: Includes mounted paint samples.$5NNC

  2. If the Library has more than one copy, include the appropriate copy number in the 500 note.

    Example:
    Rare Book copy 2: Signed by the author.$5NNC
