LIMITED EDITION NOTES

Bibliographic Record Procedures

BACKGROUND:

Input limited edition notes for Rare Books (RBX), and Avery/Fine Arts rare books (AVR, FAR) in a 500 copy specific note followed by $5NNC. Input limited edition notes for all other locations in a 500 limited edition note without $5NNC.

  1. EDITIONS OF 500 COPIES OR FEWER

    1. Original cataloging

      1. Rare Book and Avery/Fine Arts rare books--Follow LC Rule Interpretations. Input the copy number in a copy specific note (500 $5NNC).

        Example: 500 Rare Book copy: No. 25.$5NNC

      2. Other locations--Add a limited edition note only in a 500 note field.

        Example: 500 One of 250 numbered copies.

    2. Online copy (LC or member)

      1. Rare Book and Avery/Fine Arts rare books

        1. Limited edition note present on cataloging copy--Reformulate as a copy specific note (500 $5NNC) with the specific copy number.

        2. Limited edition note not present on cataloging copy--Follow LC Rule Interpretations. Input the copy number in a copy specific note (500 $5NNC).

      2. Other locations

        1. Copy specific note present on cataloging copy--Reformulate as a limited edition note (500)

          Example:

          Copy states: LC copy is no. 25 of 250 copies.

          Reformulate as: 500 One of 250 numbered copies.

        2. Limited edition statement present on piece in hand--Input a limited edition note only.

    3. Transcription

      1. Rare Book and Avery/Fine Arts rare books--Transcribe copy specific note as it appears on the card (500 $5NNC).

      2. Other locations--Transcribe limited edition note only (500).

  2. EDITIONS OF MORE THAN 500 COPIES

    1. Rare Book and Avery/Fine Arts rare books--Input limited edition note with copy number in all cases.

    2. Other locations

      1. Original cataloging or transcription--Do not input limited edition or local notes.
      2. Online copy (LC or member)--Retain note unless the copy number is present. If the copy number is present, delete the note.
