Cataloging Practices Manual [CPM-580]

Holdings Treatment Codes

MFHD Procedures

  1. BACKGROUND

    1. Treatment codes provide a convenient shorthand for entering processing information into CLIO holdings records. Some codes additionally require a corresponding public OPAC message. Enter the appropriate treatment code into 852 $x and any necessary accompanying OPAC texts into 852 $z. (Note that not all public OPAC messages require treatment codes. For a list of these public messages, see CPM-582.)
    2. Treatment codes are listed below in alphabetical order.
    3. Codes with (*) in the OPAC column also require the entering of corresponding OPAC texts. The wording of the message appears within quotation marks in the MEANING/MESSAGE column. (Note that the texts should be input WITHOUT quotation marks.)
    4. Treatment codes without (*) in the OPAC column provide technical processing information only. These codes do not require input of full text messages in the OPAC. The meaning of these codes appears in upper case letters in the MEANING/MESSAGE column.
    5. The CLIO column lists the field/subfield in which treatment codes are input. The CLIO holdings record may also contain processing information which does not appear on the list below. Examples include cataloger's initials in square brackets and date, withdrawal notes, etc., which migrated from NOTIS but which should not continue to be coded on new cataloging.
    6. Free text universal messages also may appear preceded by $z. Example:

      852 8 1 $b ave $h AA9127 NY $i B87 $z Vol. 7 shelved as AA9128 NY B87 FFF

    7. If multiple treatment codes and/or text are applicable, input each element into separate $x's and/or $z's. Examples:

      852 0 1 $b mat $h QA3 $i .L49 $x a:all $z For circ info, search author or title of individual volumes. $x ct $x ass $x a:ok

      852 0 1 $b glx $h BS410 $i .N61 $x a:all $z For circ info, search author or title of individual volumes. $z For volumes after v. 107 search individual titles $x sep

When interpreting treatment code information in processing, the last treatment code in the 852 reflects the most recent practice regarding the series. In the second example the code "sep" in the last subfield would be understood to mean that the volumes following v. 107 would be classed separately and not added to the serial holdings.
